Three to Six Months Ahead:
- Select a Chairperson to preside over the organizing of the event and to recruit volunteers.
- Select a date, golf course and caterer if food will be served.
- Decide on the formal of the event and any other activities that will be included.
- Put together a flyer and registration process.
- Determine where other revenue can be gained, i.e., hole sponsors, raffles, special contests, if the outing will be self-supporting or if the company will contribute funds, any donated printed materials, etc.
One to Six Months Ahead:
- Recruit golfers, get the word out, advertise.
- Contact Vendors and/or begin to solicit donations of prizes, gifts or raffle items.
- Look for several different avenues to advertise your event.
- Keep in touch with the course and let us know if you need any assistance.
One to Six Weeks Ahead:
- Begin assigning foursomes.
- Start to finalize sponsors/prizes.
- Prepare any printed materials such as hole sponsor signs, programs, raffle tickets, alphabetical name lists, etc.
- Make a last effort push to recruit more golfers.
- Keep the course/caterer apprised as to the number of golfers.
One to Two Weeks Ahead:
- Finalize prizes, donations, raffle items, gift packets.
- Send list of players to course.
- Make any last minute changes and keep course and caterer informed.
- Make a checklist of materials needed the day of the event.
One Day Prior to the Event:
- Pack everything in your vehicle the night before, go over your checklist to make sure nothing is forgotten.
- Call all volunteers
- Make any emergency changes and keep the course informed.
- Be sure you have everything the course and caterer will need for payment.
- Get some sleep.
After the Event:
- Reserve a date for next year.
- Send a thank you note to each player and sponsor and ask for feedback, both good and bad, to help you.
- Prepare for next year’s event.
